PeerDent Solutions ("PeerDent," "we," "us," "our") provides AI-powered Google Ads management, a practice operations platform, and consulting and marketing services for dental practices. This Privacy Policy explains what information we collect through our website (peerdent.com), our platform (portal.peerdent.com), and our advertising-management services; how we use and protect it; how we handle data obtained through Google APIs; and the choices you have. Questions? Email Dilan@peerdent.com.
Information We Collect
We collect information in a few ways:
- Information you give us. Contact and practice details you submit through our website forms or by email — name, email address, phone number, practice name, practice management software, and anything you type into open fields.
- Customer account & platform data. When a dental practice uses PeerDent, we process the operational data needed to run the platform — schedules, recall lists, accounts-receivable records, tasks, leads, and configuration — as a service provider to that practice.
- Advertising & analytics data. When you interact with a campaign or landing page we operate, we collect ad-click identifiers (such as the Google Click Identifier, "GCLID"), UTM parameters, page activity, and conversion events (calls, form submissions, and online bookings).
- Data from connected services. With a client's authorization, we access data from third-party services the client asks us to manage or read — including Google Ads (via the Google Ads API) and the client's practice management system. See the sections below.
How We Use Your Information
We use the information we collect to:
- Respond to inquiries, schedule consultations, and provide the services you request;
- Operate, maintain, secure, and improve the PeerDent platform and services;
- Create, manage, optimize, and report on advertising for clients who authorize us to do so;
- Attribute leads to their source and measure return on advertising spend; and
- Comply with legal obligations and enforce our agreements.
We do not sell or rent your personal information, and we do not share it with third parties for their own marketing.
Google User Data & the Google Ads API
When a dental practice authorizes PeerDent to manage its Google advertising, we connect to that client's Google Ads account through the Google Ads API, operating under our Google Ads manager (MCC) account with the client's explicit authorization. We access only the data needed to operate the advertising-management service.
What Google data we access
- Google Ads account structure, campaign and ad-group settings, and budgets;
- Performance metrics — impressions, clicks, cost, and conversions;
- Keyword and search-term reports;
- Conversion actions and conversion data; and
- Google's optimization recommendations.
We do not request or access unrelated Google services such as Gmail, Google Drive, Google Contacts, or Google Photos.
How we use Google data
We use Google Ads data solely to build, manage, optimize, and report on the authorizing client's own advertising campaigns, and to compute their return on ad spend. We do not use it for any unrelated purpose.
PeerDent's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Limited Use commitments
- We use Google user data only to provide and improve the advertising-management features the client has engaged us for.
- We do not transfer or sell Google user data, except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to affected clients.
- We do not use Google user data for personalized advertising, including retargeting or interest-based advertising.
- We do not allow humans to read Google user data unless: the client gives consent for specific data; it is necessary for security purposes or to comply with applicable law; or the data has been aggregated and anonymized.
Storage, control & deletion
Google Ads data is stored on enterprise-grade cloud infrastructure (Amazon Web Services), encrypted in transit and at rest, with access restricted to authorized personnel. Campaigns run in the client's own Google Ads account, which the client owns and controls. A client may revoke PeerDent's access at any time from their Google account's security settings, and may request deletion of data we hold by emailing Dilan@peerdent.com.
PeerDent is an independent advertising-management provider and is not affiliated with, endorsed by, or sponsored by Google. Google Ads, Google, and the Google Ads API are trademarks of Google LLC.
Advertising & Conversion Data
To measure and improve campaign performance, we capture ad-click identifiers (GCLID), UTM parameters, and conversion events (calls, form submissions, and online bookings) using first-party cookies and our own tracking. When a lead books and is treated, we may upload that event and its monetary value back to Google Ads as an offline conversion so that bidding can optimize to real outcomes.
We send only conversion events and their values to advertising platforms. We do not send protected health information, clinical details, or patient-identifying health data to Google or any advertising platform.
Practice & Patient Data (HIPAA)
When we operate the platform for a dental practice, we may process operational data and protected health information ("PHI") on that practice's behalf, acting as a service provider (and, where applicable, a business associate). We treat this information as confidential, apply administrative, technical, and physical safeguards, and use it only to provide the contracted services. PHI is never used for advertising and is never transmitted to advertising platforms.
Sharing & Sub-Processors
We share information only as needed to run the service: with vetted infrastructure and service providers (for example, cloud hosting, transactional email, and SMS delivery) that are bound by confidentiality and process data on our instructions; with the advertising and analytics platforms a client has asked us to manage; and when required by law or to protect rights and safety. We never sell personal information.
Data Security
We use reasonable administrative, technical, and physical safeguards to protect the information we hold. Our platform runs on enterprise-grade cloud infrastructure with encryption in transit and at rest, network isolation, signed access tokens, least-privilege access, and audit logging. No method of transmission or storage is perfectly secure, but we work continuously to protect your data.
Data Retention
We retain personal information for as long as needed to provide the services, comply with our legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or anonymize it. Clients may request deletion of their data at any time, subject to legal retention requirements.
Your Rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, and to object to or restrict certain processing. Because we do not sell personal information, there is nothing to opt out of in that respect. To exercise any right, email Dilan@peerdent.com and we will respond as required by applicable law. For data we process on behalf of a dental practice, please direct your request to that practice; we will assist them as their service provider.
Cookies & Analytics
We use first-party cookies to capture advertising attribution (such as GCLID and UTM parameters) and to keep the platform working, and we use privacy-respecting analytics (such as Google Analytics 4) to understand traffic and the booking funnel. We do not use third-party advertising cookies to build profiles of website visitors for our own marketing. You can control cookies through your browser settings.
